Better Proposals vs PandaDoc vs Proposify (2026): Proposal software if you already have a CRM

Better Proposals vs PandaDoc vs Proposify (2026): Proposal software if you already have a CRM

You’re rewriting the same proposal in Docs while the client waits.

Better Proposals Starter if you send under 10 a month and want sign + pay in one link.
PandaDoc Starter if you need unlimited e-sign and will grow into contracts later.
Proposify if you’re already on a CRM and care how the pitch looks.
Skip all three if you still need leads, scheduling, or invoices — use the HoneyBook / Bonsai / Dubsado page.

This page is the document layer only. You already have a CRM (or you refuse one) and you just need the proposal signed. Seat and send caps stay in the tables below — don’t buy an all-in-one for a PDF.

Prices from first-party pages retrieved 2 September 2026 and re-checked the same day at publish. They change.

Quick take

Job Start here Comparable plan (first-party, 2 Sep 2026)
Solo, under 10 sends/month, sign + pay in one URL Better Proposals Starter $13/user/mo billed annually (10 sends, 1 seat)
Unlimited e-sign volume, contracts later, CRM later PandaDoc Starter $19/mo billed annually. CRM / branding / deal rooms wait for Business $49/seat/mo billed annually
Agency brand / design, already on a CRM Proposify Basic $19/user/mo annually (10 sends) or Team $41/user/mo annually (30 sends, integrations)
CRM + time + invoices in one product Buy none of these HoneyBook / Bonsai / Dubsado

The Starter-tier gotcha on Better Proposals and Proposify is the monthly send cap, not the sticker. PandaDoc’s gotcha is where features actually start (Business, not Starter) and a messy compare table.

PandaDoc’s compare grid was checkmarks without reliable labels. Verified on-page: paid plans show unlimited e-sign in that row; Free is limited (60 docs/year). A 5 e-sign/month cell appears on Free. We do not invent a separately named “Free eSign” product. We do not treat unlabeled checks as features.

Send limits, overage, and the Starter trap

This is where people overbuy — or get a surprise invoice.

Better Proposals. Starter is one seat and 10 sends a month. Premium is 50. Enterprise is unlimited. The compare table is explicit. There is no public overage rate on that page — you change plan (FAQ: upgrade or downgrade whenever). Flag: the same FAQ says every plan lets you add as many users as you need; the compare table still lists Starter 1 seat max. This draft follows the table. Nudge follow-up is a $10/user/mo add-on. Custom template design from $1,495, quoted first.

PandaDoc. Free: 60 docs/year. FAQ (same pricing URL): extra docs $3.50 Starter monthly, $2 Starter annual, $2.60 Business monthly. Unused docs do not roll over. Annual plans can use the yearly allocation anytime during the year. Upgrade is immediate (prorated); downgrade next cycle. A “document sent” is anything delivered for signature, approval, or review — templates, drafts, and internal shares do not count. Flag: the Starter marketing card says unlimited uploads and e-signatures; the FAQ still prices overage. We did not invent a paid Starter included-doc number. We did not invent monthly stickers $35 / $65.

Proposify. Sends count when you share with a client. Drafting is unlimited. Unused sends roll over and accumulate (FAQ). Overage is published. Trial sends are real client sends.

If you are honestly under ten proposals a month, Starter-class seats are the buy. If you spike, Proposify’s rollover and cheap overage are more forgiving than Better Proposals’ hard 10/50 walls — unless you are already on Enterprise.

Better Proposals — pay in the URL

Better Proposals pricing (2 Sep 2026).

Plan Annual Monthly Seats Sends/mo
Starter $13/user/mo $19 1 max 10
Premium $21/user/mo $29 Unlimited 50
Enterprise $42/user/mo $49 Unlimited Unlimited

Every plan (hero + “included on every plan”): legally binding e-sign (vendor: EU and US e-sign legislation), interactive pricing tables, payment integrations, content library, notifications/analytics, unlimited templates, any document type (not just proposals), 256-bit SSL (FAQ).

Premium+: custom domain, CRM integrations, automatic expiry, API/Zapier, custom onboarding flows and forms.

Enterprise: content locking, simultaneous editing, inline commenting, manager approvals, advanced user permissions.

Remove the Better Proposals badge: Premium and Enterprise only (FAQ on the same page). Keep the badge and they will pay you a commission if a recipient signs up — that is their program, not ours.

Use it if you are a solo who closes in one link: proposal, signature, Stripe/PayPal/GoCardless. Skip Starter the month you need an 11th send, a second seat, a custom domain, or HubSpot/Salesforce from inside the tool — that is Premium $21, not $13.

PandaDoc — volume first, CRM later

PandaDoc pricing (re-fetched 2 Sep 2026).

Free $0 60 docs/year; editor; real-time tracking; 24/7 email and chat
Starter $19/mo billed annually Unlimited document uploads and e-signatures; editor; tracking; 24/7 email and chat. Not labeled per-seat on the fetch
Business $49/seat/mo billed annually Custom quotes and sales agreements; CRM integrations; custom branding and content library; deal rooms; approval workflows; web forms; bulk send*
Enterprise Custom (per-seat or per-document) CPQ; workflow automation; smart content; SSO; team workspaces; notary; API

Trial: 14 days. “We will only charge you when you decide to use PandaDoc after you’ve completed your evaluation.”

Compliance language on the same page: SOC 2 Type II, GDPR, encryption in transit, cloud stored in a SOC / FISMA / PCI DSS Level 1 environment. Compare-grid extras (eIDAS, U.S. ESIGN, US or EU residency, QES, HIPAA, KBA) had unreliable labels — confirm in-account; do not treat a stray check as a Starter feature.

Use Starter when you already live in another CRM and you need a lot of agreements signed without buying HoneyBook. Use Business when the proposal tool is the sales stack (CRM, library, rooms, approvals). Skip the whole product if you wanted sign-and-pay on the $19 card — processors were not on that card.

Business: user roles and permissions, approval workflows, SSO (Okta, Azure, Salesforce), API, multiple workspaces, onboarding options.

Support: Monday–Thursday 8am–8pm EST, Friday 8am–4pm EST. Security section: GDPR, SOC2 Type 2, payments via Stripe (PCI). FAQ: 256-bit SSL; AWS hosting.

Use it if design and a pricing catalog are the job and HubSpot (or similar) already owns the pipeline. Skip it if you needed pay-in-doc on a $13 solo plan — that is Better Proposals Starter.

Do not buy any of these

You wanted one login for leads, proposals, contracts, invoices, time, and a portal. These three will not become HoneyBook. They will not become Bonsai. They will not become Dubsado.

Read HoneyBook vs Bonsai vs Dubsado. If Bonsai’s proposals-and-contracts line on Essentials is enough, buy it there — not a second document SaaS on this page.

Qwilr (qwilr.com) is a web-proposal mention only: interactive pages, not a fourth horse, no price in this draft (not fetched).

Bottom line

  1. Solo, <10 proposals/month, sign and pay in one URL → Better Proposals Starter $13 annual. The gotcha is the 10-send / 1-seat cap.
  2. Unlimited-feeling docs and contracts, CRM later → PandaDoc Starter $19 annual. Wait for Business $49/seat if you need CRM, branding, library, rooms, approvals, web forms, or bulk send.
  3. Agency brand already sitting on a CRM → Proposify Basic or Team. Team if integrations and a pricing catalog are the job.
  4. Need CRM + time + invoices → do not buy these. Use the HoneyBook / Bonsai / Dubsado three-way.

Re-check all three pricing URLs on publish day.
